Supplier check: 12 things to verify before you send money

Every item here is something you can check yourself, from outside China, without paying anyone. If a supplier refuses three or more of them, that is your answer.

Twelve checks in four groups Identity three checks, credentials two, capability three, risk four. Twelve in total. 1 Who is talking to you 3 checks · items 1, 2, 6 Licence scope · export right · factory or trader Decides if you even reach a producer 2 Does it have the papers 2 checks · items 3, 4 Export records · certificate numbers Checked at the issuing body, not a PDF 3 Can it actually make it 3 checks · items 5, 7, 9 Photos vs capacity · same line · in-house QC Decides whether the sample was real 4 Will the money go wrong 4 checks · items 8, 10, 11, 12 References · account · litigation · address Cheapest to run, stops deposits Groups 1 and 4 cost nothing but a browser and one phone call. Most buyers run neither.

How to read the answers

Three or more refusals, or two answers that contradict the business licence, is a stop. Not a negotiation point — a stop.

One or two soft answers is normal and usually fixable. Small factories genuinely do not keep tidy documentation. The question is whether they can produce the underlying facts when asked directly, or whether every answer redirects to "we are a big and reliable factory".

This checklist catches the documented problems. It does not catch a factory that answers everything correctly and still ships 11% defects — that needs an on-site audit and an inspection.
